Receiving Surplus Property

Receiving into Inventory

  • Receiving will be done by entering receive items in the receiving screen in the application.

  • There is an option to add received items on-the-fly, if a department asks for additional items to be picked up, but generally, it is better to have the department create a new disposal request for such items.

  • During receiving, items can be re-categorized, have a price entered, have expenses charged against it, and have a warehouse location assigned. Items can also be assigned to trash or recycle, and if a group of items is received, certain items from the group can be assigned new, unique inventory numbers during the receiving process.

  • Once items are received into inventory they are given a unique inventory number.

  • Inventory items can have images uploaded (as many as necessary for each item). Image uploads can be done automatically in batches.

  • Each item in inventory can be edited by the Surplus Property Office, and each item is associated with its originating department for accounting purposes after it is sold.

  • Inventory items can be optionally retained for sale only to the University and its staff for a selected period of time, and only after that time made available to the public.

  • Inventory can be taken using a barcode scanner to identify the warehouse location and inventory items in each location. The scanner file is uploaded to the application and an exception report can be generated to show any anomalies.
