Each department administrator can set up and manage the profiles and permissions of it users. The three security levels are:
Administrators have permissions for all department profile setup, and can assign others as administrator, managers or users. Only administrators can assign users to be authorized to approve disposal requests.
- Administrator
- Manager
- User
Managers can only assign others as managers or users, but can modify manager and user profiles.
Users can only manage their own profile.
All department users can create disposal requests for their own department.
- Other aspects of the department profile include building names/numbers and physical addresses, adding staff members who can create disposal requests and identifying those who are authorized to approve disposal requests.
- The system notifies those who are selected to approve disposal requests by sending an email. There are other system-generated workflow prompts and reminders that show on a “To-Do” list for each logged-in user.
- Departments can also create a “Want List” of items they need. The Want List constantly searches the surplus inventory and notifies the department when a match is found. They can also view the surplus entire inventory at any time.
- Departments have a view of the progress of their disposal requests, and their expected revenues, which reduces the incidence of phone calls to the Surplus Property Office.
- Departments can request scheduled pickups and be notified of pending pickups and deliveries.
Virtual Inventory
In cases where items remain with the department, they can be received into “virtual” inventory, but flagged as residing with the department, so online buyers know where they have to go to pickup their purchases.

Email Campaigns
Brochures will be used to promote items to specific departments and staff members on a periodic basis as inventory or campus needs dictate.
- The Surplus Property Office can quickly and easily create good-looking email “brochures” with images and text to promote inventory items and sale events to selected customers, customer groups, or customers interested in specific inventory categories.
